Customer privacy and what details are stored

Customer enrolment

What you are asking a customer for, where it shows up, and what to say when somebody asks.

What a customer gives you

As much or as little as you have asked for. Out of the box the sign-up page asks for two things, and there are two more you can switch on. All four live under Program, then Offer, then Data collection.

  • A first name. Not a full name, and it is only there so you know who is standing in front of you.
  • An email address. This is how LoyalPack recognises the same customer signing up again, and it is the only way you can reach them later.
  • A phone number, if you have switched it on. It is off on every Program until you turn it on, and LoyalPack does nothing with it at all: there is no text message, no call and no second offers tick. It is saved on that customer’s own page under Customer Cards so you have it, and it goes nowhere else. It is never shown on their card, never sent to a wallet and never put in an email.
  • A date of birth, if you have switched it on. It is off on every Program until you turn it on, and the only thing LoyalPack does with it is the birthday: a free stamp or a free reward on the day, and a short birthday message on their loyalty card, where you have asked for those. The date itself is never shown on their card, never sent to a wallet and never put in an email.

That is the whole form at its longest: four boxes, two of which most Programs never turn on. No home address, and no payment details of any kind: a LoyalPack card takes no money and holds none. There is no tick box to agree to either, because what the form asks for is the loyalty card: a customer who fills it in and taps the button is asking you to run one for them.

With all four switched off the form has no fields at all. The customer taps once and holds a card, and you hold no details about them beyond the card itself. That is the paper stamp card, in a phone.

The one optional tick

One optional box asks whether they want occasional offers from you. It is unticked, it is nothing to do with getting the card, and a customer who leaves it alone still gets one. Say that plainly at the counter if anybody hesitates over it. It only appears where you collect an email address: with no address there is nowhere to send an offer, so the question is not asked and no answer is stored.

Where those details show up

  • Open Customer Cards from the menu. The list shows the name, the email, the card code, the stamps they have collected all told and when they were last in, and clicking a row opens that card’s own page with the rest, including their phone number and their date of birth where you collect them. Neither is a column on the list, deliberately: you need them about one person, not about everybody at once. Anything you do not collect reads "Not collected" rather than being blank. Only an Administrator can open it.
  • The card itself shows their first name and their progress, or "Card holder" where you collect no name. It never shows their email address or their phone number.
  • A customer card page is not indexed by search engines and is not stored by shared caches.

If somebody asks you to remove their details

There is no button for this yet. Email us at the address below with the business name and the customer email address, or their card code where you collect no address, and we will deal with it. Do not simply delete the Program: that stops the cards working for everybody and keeps the records anyway.

Our privacy policy, linked at the foot of every page, is the full account. This guide is the counter version of it.

Still stuck?

If none of this covers it, send us a message and a person will reply. Tell us what you were doing when it went wrong, and we can usually sort it in one message.

So we can reply. We use it for nothing else.

Optional. Handy if it is quicker to talk it through.

A few words, such as: stamps not showing on a card.

What you were doing, what you expected, and what happened instead.
